The Office of Sponsored Funds Personnel is located in Room 326 of the Management Services Center at 2 University Place, which is adjacent to the University Administration Building at 1215 Western Avenue.

Sponsored Funds Recruitment Help

To  Initiate a Search 
The department must complete the following (link to: recruitment forms) 
  1. Position Authorization Request (HRM-1)
  2. Announcement of Vacancy
  3. Copy of the advertisement
  4. Request to Advertise Position
  5. Affirmative Action Recruitment Plan
  6. Job Description Template (now required for all positions)
  7. Request for Direct Charging Administrative Salaries to Federally Funded Sponsored Awards (required for postings for positions that are administrative in nature, charged directly to a federally funded sponsored award)
Once the appropriate signatures have been obtained, the recruitment packet should be forwarded to Sponsored Funds Personnel, MSC Room 326.  In addition, the Announcement of Vacancy and copy of advertisement should be forwarded as an attachment to: rsteve@uamail.albany.edu and TWilliams2@UAmail.Albany.edu 
 

OSFP will review the recruitment packet to ensure: proper classification according to the Fair Labor Standards Act (FLSA); compliance with federal and state laws including RF salary rules and policies; appropriate content and language is used; and inclusion of the University's Affirmative Action statement.

 

The approved request will be posted both on the bulletin board in MSC 326 and on the Human Resources Vacancy web page.  For further information on completing the Affirmative Action Recruitment Plan, recruitment resources, sample communication letters, and legal/illegal questions for applicants, please go to the Office of Diversity and Inclusion Web Site.  
 
 

Verifying Credentials and Reference Checks

Prior to an interview, candidates should complete and sign the RF Employment Application.  By doing so, the applicant gives you permission to check references and obtain information from previous employers. Before an applicant is hired, references and credentials should be checked. When a license or certificate is required for a position, the applicant must provide the original document (including the license number and expiration date). Locations must also verify the authenticity of the license or certificate before the person is allowed to perform services as an employee.

 

Offer Letter

All communication with applicants and offers of employment (verbal and written) must be consistent with funding and sponsor rules, RF policy, and legal requirements. When offers of employment are made, applicants must be made aware that employment with the Research Foundation is subject to the availability of funds and program needs and that there is no expressed or implied guarantee of employment retention. An offer of RF employment is contingent on the prospective employee providing documentation that establishes proof of identity and of eligibility to work in the United States.

 

All Research Foundation Offer Letters must be prepared on RF stationery, forwarded to SFP and retained in the employee's personnel file.
